One of our clients came in today and commented at how useful our telephone answering service has been for her business. She commented at how it’s made her business look so much bigger and how the work is now flowing in nicely.
I thought I should write about how she started her business and how it’s grown in the last six months. She decided that she needed as many resources as possible to make her business work efficiently and give the impression of a bigger business.
This has now started to pay back as the work is building and she is able to manage the various projects. She knew that having those virtual services to do the tasks that she can’t manage would help her generate more business.
The personal contact we have with her ensures that we deliver a very tailored service for her business as if we were directly employed by her as members of her own staff team.

When it comes to difficult callers, the most important part of business telephone etiquette is to remain calm no matter what someone says. When it becomes apparent that someone is not happy, and there is nothing a receptionist can do to calm them down, the call must go to someone else. Never hang up on any customer no matter what. Tell them that you are going to call a manager to speak with them.
Irate people are never easy to deal with, but someone else may know just what to do.Â
Irate callers are sometimes just annoyed by something very simple and if the call is not handled well you could lose the business.
Using a Virtual telephone answering service like Kendlebell Luton can help in getting those calls answered

At home answering the phone is easy. You just say hello and wait to hear who is calling you. These conversations are always easy you either know who is calling or you ask. The conversations are always casual even when someone’s call is business related. They know they are calling your home and know you are not going to be formal.
When it comes to business good business telephone etiquette is essential.
The person answering the phone should always identify the name of the business. They should say something like good morning or afternoon Kendlebell Luton, how can I help you? There are variations of course depending on the business and personal preference.
Once someone has stated who they are and what they want, the person answering the phone should be very polite when telling them to hold while they reach the relevant person or department. It is essential the caller is not kept on hold any longer than necessary. If the person or department are busy or in a meeting then the personal assistant or receptionist should write down the callers’ details and take a message regarding the inquiry and then inform the relevant person or department of the call.
If the business owner is always out of the office then using a telephone answering service is a great alternative to make sure the caller always has an answer from the company instead of an answerphone. Also using a virtual telephone answering service means that the messages are relayed to the business owner by email or text immediately they are received, so they know instantly when a call has come in for them and they can then choose when to respond to the caller and this increases the opportunity to capture new business and if this happened regularly then the service is worth it’s weight in gold!

For starters a virtual assistant will answer your calls live and direct the inquiry to the relevant person or department. If you are busy in the department your virtual assistant will let the caller know that you are in a meeting and take a message. The message can be emailed or we can send a text to you with the caller’s details.
